JOB CONTEXT

As the Executive – Human Resources, you will ensure the smooth and efficient operation of various HR functions within our organization. You will be required to perform a range of duties, including filing, training coordination, HR information system management, recruitment, and other administrative tasks as assigned.

JOB RESPONSIBILITIES

I. Filing

• Prepare, send, and collect new joining documents from new joiners and file them appropriately.
• Scan all new joining documents and any incoming documents that belong to personnel information files and store them in SharePoint Library.
• Update and ensure softcopy database and hardcopy of personnel files are organized in their appropriate folders/cabinets.

II. Training

• Track training plan and training calendar.
• Update skills matrix and generate reports.
• Gather data for designing or updating courses and instructional handouts.
• Audit training programs to ensure they are compliant with existing guidelines.
• Conduct training needs assessment.

III. HRIS

• Enter new joiners' ID and personnel file information into HRIS.
• Approve leave and(or) leave adjustment.
• Generate Payroll reports, transform, and prepare salary sheets every month.
• Generate attendance, leave, early exit, and late reports, transform, and prepare as supporting documents for monthly salary sheets.

IV. Recruitment

• Collect Manpower requisition form(s).
• Post Job circulars at various job boards.
• Shortlist CVs as per criteria.
• Conduct General Mental Ability & Excel Competency Test.
• Prepare attendance sheet, participant summary sheet, print CVs & interview evaluation sheets.
• Prepare recruitment statistics and store them in the data warehouse.

V. Other administrative tasks

• Issue Salary Certificates, No Objection Certificates, Experience Certificates, Free of Charge ticket applications, and confirmation letters.
• Issue Police Verification letters, CAAB pass, ID card, transfer (or deputation) letter, and warning letters.
• Conduct Background check – verify educational certificates & previous work history, and send information for the vetting process.
• Prepare and send requisition and adjustment forms.
• Prepare note sheets and assist in the development of policies or procedures by gathering data from relevant stakeholders.
• Data entry required data as needed for generating HR metrics.
• Update hazard database and generate reports.
• Carry out administrative tasks related to performance appraisal and confirmation.
• Gather data to assist in the development of policy & procedures.

ADDITIONAL REQUIREMENTS

• Must be proficient in Microsoft Excel.
